Contract Duration: Fixed Term to 06 November 2026(Maternity Cover)

Work hours: Full-Time:Monday-Friday 08:00am - 04:30pm

Salary: $94,306.27 – $105,684.68 p.a + 12% Super

 

Role Description: 

This position provides high-level administrative support by preparing reports, gathering and handling information requests and performing clerical functions such as preparing correspondences, receiving visitors, arranging conference calls, and scheduling meetings, note taking, record keeping; act as the first contact point for busy members of the Senior Management Team (SMT) and follow up action items with the SMT and provide feedback internally and to the external stakeholders.

Responsibilities:

  • Provide direct assistance to the CEO
  • Secretariat to the Senior Management Team (manage and maintain the SMT schedules and assist with travel arrangements)
  • Sort and distribute incoming and outgoing correspondences for the CEO and the SMT
  • Coordinate, prepare agendas and record minutes for the Senior Management and the staff meetings.
  • Coordinate logistics for Board meetings and provide travel assistance for the member directors when required.
  • Coordinate key documents for Board signatures such as Grant agreements and Contracts.
  • Read and analyse incoming proposals, motions, and reports to the SMT’s in order to determine their significance and plan their distribution and set up follow up schedules. (e.g. to the Board of directors, to the individual Managers)
  • Provide support and assistance to the corporate team and work directly with the Corporate Services Officer.
  • Any other tasks as may be required by the CEO or Senior Management Team.

 

Selection Requirements (Qualifications & Attributes)

 

ESSENTIAL

  • Ability to communicate well with a wide range of people across the organisations, community groups and government offices.
  • Working knowledge of all electronic office equipment’s, and general knowledge of computer hardware and software, as well as ability to work with general office communication applications such as emails and internet.
  • Demonstrated experience in administrative and clerical procedures and systems such as - minute taking, word processing, organising meetings and preparation and distributing agendas, managing files and records, preparing list in excel, designing forms, and other office procedures and terminology.
  • Excellent time management and organisational skills
  • A good understanding of Community Controlled Health Organizations in the Northern Territory
  • Basic knowledge of business and management principles involved in strategic planning, resource allocation, human resources function and coordination of people and resources

DESIRABLE

  • Experience working in an Aboriginal controlled organisation.
  • Qualifications in Administration and minute taking.

  • Applicants must be able and willing to undertake travel throughout the NT and Interstate (sometimes as a light aircraft passenger) and possess a C class Driver’s Licence.
